HELP WITH POSTING
To have your entry letter/meet packet AND the Hy-Tek Meet Setup File posted to the Meet Entries section of the website
AFTER you have received a Sanction # from Tony Young of Indiana Swimming, please be sure to update your entry letter/meet packet to include that number.
THEN, send the entry letter/meet packet and the Hy-Tek Zipped Meet Setup file to Lynn Kinstler
PLEASE READ THE BELOW DO's & DON'TS BEFORE YOU SEND ANYTHING FOR POSTING
DO'S
If you would like to have your meet packet converted to the Adobe PDF format for posting here, Lynn Kinstler, will convert it and post it. Just email him your meet packet in MS Word (2000 or earlier), Word Perfect (6.1 or earlier), or plain text.
If you want to be really helpful, in your email include your team's official abbreviation (e.g. WTSC), and the month and year of your meet. That helps because the files you send get renamed based on that information in a TEAMYRMO.xxx format (e.g. WTSC0206.pdf). If you don't include that information, then it takes extra time to open you meet packet and read it to find that information so your files can be saved with the correct file names.
Your Meet Packet must be a single file. If you have separate documents as part of your meet packet, such as directions to pool, order of events, list of hotels, etc. you must incorporate all those separate documents into one file and send just one file as your meet packet. Of course this instruction does not apply to your Team Manager setup file, which is optional and should be sent as a separate file.
Proofread before you send. It is become quite common for clubs to miss order of events errors, email addresses! Some clubs even have to have 2-3 revisions denoted on our site!!
If you are planning to send a Team Manager setup file, it really helps if you send it with your meet packet. It doesn't take me any extra time to do both files at once, but it almost doubles the time cost when you send them separately. Please note that some email servers may zip the 2 files together and then when Lynn receives them, only the entry letter file comes through. IF this happens, she'll simply ask you to re-send the zipped setup file again (by itself).
DON'TS
WARNING - your club will be fined by Indiana Swimming if you submit a packet for posting that does not have a VALID sanction number.
DO NOT SEND DOCUMENTS FROM other word processing programs (Lotus, XyWrite, etc.) or from publishing or presentation programs such as Power Point, PageMaker, FrameMaker, MS Publisher, QuarkXPress, etc.
